Refund and Returns Policy

At DevVibe Studios, we are committed to providing professional digital services and maintaining clear, transparent relationships with our clients.

This Refund and Returns Policy explains the circumstances in which payments may be refundable, partially refundable, non-refundable, or adjusted when you purchase or engage DevVibe Studios for services including website development, software development, branding, graphic design, animation, motion graphics, digital marketing, and related creative or technology services.

Because our services are primarily digital, customized, and project-based, traditional product returns generally do not apply.

By approving a quotation, proposal, invoice, project agreement, or making a payment to DevVibe Studios, you acknowledge the terms outlined in this policy together with any project-specific agreement provided to you.


1. Nature of Our Services

DevVibe Studios provides customized professional services, including but not limited to:

  • Website Development

  • Custom Software Development

  • Web Application Development

  • WordPress Development

  • Shopify Development

  • UI/UX Design

  • Branding & Graphic Design

  • Logo Design

  • 2D Animation

  • 3D Animation

  • Motion Graphics

  • Video Editing

  • Digital Marketing

  • SEO Services

  • Social Media Marketing

  • PPC Advertising

  • Search Engine Marketing

  • Creative and Digital Consulting

Our work is generally created specifically according to each client’s requirements.

Because time, planning, creative resources, technical work, research, design, and production may begin immediately after project approval, payments for work already performed are generally non-refundable.


2. Project Deposits and Advance Payments

Certain projects may require an advance payment or deposit before work begins.

Unless otherwise stated in a written project agreement, proposal, or invoice, an advance payment may be used to:

  • Reserve project resources

  • Begin project planning

  • Conduct research

  • Prepare concepts

  • Allocate designers, developers, animators, or other professionals

  • Purchase or reserve required resources

  • Begin development or production

Once work has started, the portion of the advance payment relating to completed work, allocated resources, administrative effort, or incurred expenses is generally non-refundable.

If no meaningful project work has started and no third-party expenses have been incurred, DevVibe Studios may review a refund request on a case-by-case basis.


3. Milestone-Based Payments

Some projects may be divided into milestones.

Examples may include:

  • Discovery and planning

  • Initial design

  • Development

  • Animation production

  • Testing

  • Final delivery

Payments made for a completed or approved milestone are generally non-refundable.

Once the client approves a milestone and work begins on the next stage, the approved stage will be considered accepted unless otherwise agreed in writing.

Refund requests relating to unfinished milestones may be reviewed based on the amount of work already completed.


4. Cancellation by the Client

Clients may request cancellation of a project by contacting DevVibe Studios in writing.

If a project is cancelled after work has started, the client may be responsible for payment for:

  • Work already completed

  • Time already invested

  • Approved deliverables

  • Resources already allocated

  • Third-party expenses

  • Purchased licenses or assets

  • Administrative or production costs

  • Other non-recoverable project expenses

Any unused portion of a payment, where applicable, may be reviewed for refund based on the specific project circumstances.

Cancellation does not automatically guarantee a full refund.


5. Cancellation Before Work Begins

If a client cancels a project before any design, development, research, planning, production, or other meaningful work has started, DevVibe Studios may consider a refund of eligible amounts.

However, any non-refundable transaction fees, third-party charges, reserved resources, purchased assets, or administrative costs may be deducted.

The final refundable amount, if applicable, will depend on the specific project status.


6. Completed Work

Payments for completed work are generally non-refundable.

A project may be considered completed when:

  • Final files have been delivered

  • Website or software work has been deployed

  • Agreed project milestones have been completed

  • Animation or creative assets have been delivered

  • Final approval has been provided

  • The agreed scope of work has been substantially completed

A client changing their mind after receiving completed work does not automatically create a right to a refund.


7. Revisions

Many DevVibe Studios projects may include a specific number of revisions.

The number and scope of revisions should be defined in the relevant proposal, quotation, or project agreement.

A revision generally refers to reasonable modifications to work already created according to the approved direction.

A revision does not normally include:

  • Complete redesigns

  • Entirely new concepts

  • Major changes to approved requirements

  • Significant new features

  • Changes outside the original scope

  • Rebuilding completed work due to a change in client preference

  • Additional deliverables not included in the original agreement

Additional work outside the agreed revision scope may be quoted separately.

A request for additional revisions does not automatically make an approved payment refundable.


8. Design and Creative Services

For branding, graphic design, UI/UX, logo design, social media creatives, presentations, and other creative services, payments may become non-refundable once creative work has begun.

This is because design work involves professional time, research, concept development, creative direction, and production.

If multiple concepts are provided and a client decides not to proceed with any of them, completed design work remains chargeable unless otherwise agreed.


9. Website and Software Development

For website development, software development, web applications, WordPress, Shopify, frontend, backend, and related development work, refunds are evaluated based on the stage of completion.

Completed coding, design, integrations, setup, testing, configuration, research, and technical work remain chargeable.

If a client cancels development after significant progress has been made, DevVibe Studios may calculate the amount due based on completed work and project resources used.


10. Animation, Motion Graphics and Video Production

Animation and video projects typically involve multiple stages, including concept development, storyboarding, asset creation, animation, rendering, editing, and post-production.

Once production begins, payments covering completed stages are generally non-refundable.

If a project is cancelled midway, any refund consideration will be based on the remaining uncompleted portion after deducting work already performed and expenses incurred.


11. Digital Marketing Services

Payments for completed digital marketing work are generally non-refundable.

This may include services such as:

  • SEO

  • Social Media Marketing

  • PPC Campaign Management

  • Search Engine Marketing

  • Content Creation

  • Campaign Strategy

  • Lead Generation Support

  • Marketing Design

Marketing results can be influenced by market conditions, competition, platform algorithms, advertising budgets, customer behavior, and other factors outside the direct control of DevVibe Studios.

Unless specifically guaranteed in writing, payments are made for the professional services performed rather than for guaranteed rankings, sales, leads, followers, traffic, or revenue.


12. Advertising Budgets and Third-Party Costs

Amounts paid to third-party platforms are generally non-refundable by DevVibe Studios.

Examples include:

  • Google Ads budgets

  • Meta/Facebook advertising spend

  • LinkedIn advertising spend

  • Domain registrations

  • Hosting fees

  • Premium plugins

  • Software subscriptions

  • Stock assets

  • Fonts

  • Themes

  • Third-party API fees

  • Cloud services

  • Licensing costs

Refunds for such services are subject to the individual third-party provider’s policies.

DevVibe Studios cannot guarantee refunds for payments already transferred to third-party platforms.


13. Domains, Hosting and Licenses

Domain registrations, hosting plans, software licenses, themes, plugins, stock assets, or similar digital purchases obtained specifically for a client may be non-refundable once purchased.

Where possible, ownership or access may be transferred to the client after applicable payments have been completed.


14. Client Delays or Inactivity

Projects require timely communication and cooperation from the client.

If a project is delayed because the client does not provide required:

  • Content

  • Feedback

  • Approvals

  • Credentials

  • Images

  • Files

  • Information

  • Payments

this does not automatically qualify the project for a refund.

Where prolonged inactivity occurs, DevVibe Studios may pause or reschedule the project depending on team availability.

Additional costs may apply if significant re-planning or reallocation of resources becomes necessary.


15. Change of Scope

If the client changes the project requirements after work begins, the revised requirements may be treated as additional scope.

Additional scope may result in:

  • Additional fees

  • Revised deadlines

  • New milestones

  • Additional development or creative work

Payments for work already completed under the original scope remain non-refundable.


16. Digital Deliverables and Returns

Because DevVibe Studios primarily provides digital services and digital files, traditional physical product returns generally do not apply.

Digital deliverables may include:

  • Website files

  • Software

  • Source files

  • Graphic designs

  • Branding assets

  • Animations

  • Videos

  • Presentations

  • Marketing assets

  • Digital documents

Once final digital files or deliverables have been provided and accepted, they generally cannot be “returned” in the traditional sense.


17. Refund Requests

If you believe you qualify for a refund, please contact DevVibe Studios with:

  • Your full name

  • Project or invoice reference

  • Service purchased

  • Payment details

  • Reason for requesting the refund

  • Relevant supporting information

Each request will be reviewed based on the project agreement, work completed, payments received, third-party expenses, and other relevant circumstances.


18. Approved Refunds

If a refund is approved, DevVibe Studios will communicate the approved amount and applicable refund method.

Any applicable:

  • Payment processing fees

  • Bank charges

  • Currency conversion fees

  • Third-party charges

  • Non-refundable expenses

may be deducted where appropriate.

The time required for funds to appear may depend on the payment provider, financial institution, and payment method.


19. Payment Disputes and Chargebacks

Clients are encouraged to contact DevVibe Studios directly before initiating a payment dispute or chargeback.

We will make reasonable efforts to review genuine concerns and resolve payment or service-related issues professionally.

Where a chargeback is initiated for work that has already been performed or delivered, DevVibe Studios may provide the relevant payment provider with project agreements, communications, approvals, invoices, deliverables, work records, and other supporting documentation.


20. Exceptions

DevVibe Studios may consider exceptions where appropriate.

Examples may include:

  • Duplicate payments

  • Incorrect payment amounts

  • Billing errors

  • Services that DevVibe Studios determines it cannot reasonably deliver

  • Other circumstances agreed in writing

Any exception will be considered based on the individual situation and does not automatically establish a policy for future cases.


21. Project-Specific Agreements

Some projects may have their own refund, cancellation, payment, revision, or milestone terms.

Where a signed contract, proposal, quotation, statement of work, or other written agreement contains specific terms, those project-specific terms may take precedence over the general provisions of this policy to the extent permitted by applicable law.

Clients should review all project documentation before making payments.


22. Changes to This Policy

DevVibe Studios may update this Refund and Returns Policy periodically to reflect changes to our services, payment processes, business practices, or applicable requirements.

The updated version may be published on this page with a revised “Last Updated” date.
